What functionality does WorkRooms offer?

Who controls what happens in WorkRooms?

Your IT department will manage the servers on which WorkRooms is installed.

You will appoint the workroom administrators who manage the use of the system. They will enrol users, create the collaborative environments ('workrooms') and control who may work in them and what they can do.

Can I control access to the documents stored in a workroom?

Yes. When you create or upload a document into a workroom, only you can access it. You decide who in the workroom can update the document, and who can only view it. You can change the access settings at any time.

What other functionality does WorkRooms offer?

WorkRooms allows you to send emails, create appointments, and define tasks in a workroom. Also, if you receive an email that belongs in a workroom you can copy it in.

Can we involve our clients in WorkRooms?

You can enrol individual clients in WorkRooms, or you can get them to enrol their organization on the same server system. This allows you to share individual workrooms with clients while controlling access to files.

Can we communicate with clients from a workroom without enrolling them in?

Yes. You can add them to your workroom contact list and include them in an email distribution list. When they reply, you will be able to copy the reply into the relevant workroom.

Do we need to change our email addresses?

No. If you are already using a Microsoft Windows server you will be able to build in the additional server functions that are needed for installing WorkRooms. This will allow you to keep the same domain name. If you already use Microsoft SQL Server you will be able to add the WorkRooms SQL database to it. If you already have Microsoft Exchange Server you will be able to add the WorkRooms folders and stores to it.

What is the difference between WorkRooms and an extranet?

Extranets are private spaces shared by an agreed number of people within and outside a company with password access. Documents and data can be stored and shared on extranets but they have to be uploaded and downloaded to allow for reviewing and editing. They therefore become yet another and additional filing responsibility. WorkRooms is a live environment where you create, review, edit, file and retrieve documents all in the same place.

What is the difference between WorkRooms and an intranet?

There is in effect no difference. An intranet is a space where you share files and information with colleagues within your own organisation. When you use a VPN connection you are on the local intranet, even though you are connecting over the Internet.

Is WorkRooms secure?

Yes. WorkRooms uses Integrated Windows authentication. This means that your identity on your own PC and in the WorkRooms system must be identical for you to be able to use a VPN or LAN connection. VPN also provides a 'tunnel' connection from your PC to the WorkRooms system when you access it over the Internet.
